What We Collect

• Account information: your email address and authentication details.
• For account resume uploads, your browser extracts the resume text from the file. We do not upload or store the original resume file on our servers. We store the parsed resume data used to provide the Service, along with related grades, edited resume content, and coaching records. The retention rules for those records are described below.
• Cachet 100 submissions follow a different process: we store the resume file you submit in private storage, separately from account resume data, for about 60 days before deletion through our administrative deletion process, as described in the Cachet 100 section.
• Job descriptions: the JD text you paste in for grading.
• Grading data: the scores, rubrics, and suggestions generated from your resumes and job descriptions.
• Usage data: basic activity like when you grade a resume and which features you use, so we can operate and improve the Service.
• Coaching information: your answers to Cici's questions and the resume edits generated from those answers.
• Payment and subscription information: We use Stripe to process subscription payments, credit purchases, refunds, and payment disputes. Stripe collects payment details directly through its payment interfaces. We do not receive or store your full payment card number or card security code. We keep records needed to operate your account and billing, including Stripe customer and transaction identifiers, selected plans and prices, subscription status, billing dates, payment results, credit purchases and usage, refunds, cancellations, and records of your purchase and recurring-payment authorization.

We also keep the content of support messages and records of your consent choices.

How We Use It

• To provide the core Service: storing your resumes, generating rubrics, and scoring your resumes against job descriptions.
• To operate and maintain the Service, including troubleshooting and monitoring for abuse.
• To communicate with you about your account or the Service.

We use relevant information to provide coaching and reports, process credit purchases, maintain balances, handle refunds and payment disputes, prevent fraud, and fulfill legal obligations. Optional uses of identifiable results for public sharing and uses of results for aggregate research follow the separate choices described below. We do not use resumes or coaching content to train AI models without separate, explicit permission. We use payment and subscription information to process authorized charges, issue and track credits, apply protected pricing, manage subscriptions and plan changes, send billing communications, handle refunds and disputes, prevent fraud, and meet legal and accounting obligations.

We do not sell your personal information or resume content to third parties.

Third Parties We Use

We use service providers to operate Cachet Careers. Anthropic processes resume text, job descriptions, and relevant coaching answers to support parsing, scoring, and resume suggestions. Supabase and Lovable provide database and hosting infrastructure. We also use Lovable's email service to send sign-in emails. That email service processes your email address and the message content needed to deliver those emails. Stripe processes payments and related refund and dispute information. Cloudflare Turnstile helps detect bots and abuse and processes technical information about requests and devices for that purpose. Fantastic.jobs supplies job listings used in the Service. Stripe also processes transaction and technical information under its applicable privacy terms. Depending on the activity, Stripe acts as our service provider or processes information for its own purposes, including fraud prevention and legal compliance. We use Google Fonts to display typefaces on our website. When your browser requests these fonts, it connects to Google's servers, which receive your IP address and technical information associated with the request.

We provide information to these services as needed for their functions. Naming a provider does not mean that every provider receives your resume or every category of personal information. Providers may retain information under their applicable service terms and legal obligations. In particular, deleting information from Cachet does not necessarily delete records that a payment provider must retain. Our use of providers does not remove our responsibility for the commitments we make in this policy.

We may also disclose information where reasonably necessary to comply with law, respond to valid legal process, address fraud or security incidents, or protect legal rights. We do not sell personal information or resume content.

Data Retention

We retain account information, resumes, coaching content, and reports while needed to provide your active account and requested services. You can individually delete resumes in your resume library and separate saved Cici resume versions on the Resumes page. You can delete your account through Settings or request account deletion by emailing info@cachetcareers.com. To request deletion of a grade, its associated Cici records, or tracked-job data without deleting your entire account, email info@cachetcareers.com; these records do not currently have individual deletion controls in the Service. Following deletion, we remove the affected content from active systems, subject to limited retention needed for legal obligations, security, or a dispute. Backups may retain copies for a limited period before being overwritten or deleted.

We retain payment, subscription, credit, refund, and consent records for as long as reasonably necessary to administer your purchases and nonexpiring credits, honor pricing commitments, resolve disputes, and comply with applicable recordkeeping requirements.

After account deletion, we retain only the records reasonably needed for outstanding refunds, legal obligations, fraud prevention, or disputes. We remove account links when they are no longer needed. Removing an account link does not necessarily make a transaction record anonymous.

Deleting your Cachet account does not necessarily delete records Stripe must retain under its own obligations.

Cici edited resumes and related records

When you save a Cici-edited resume without adding it to your resume library, a separate saved resume version expires 30 days after you save it and is permanently deleted from our active database during the next daily deletion run. You can delete that separate saved resume version earlier using 'Delete now' on the Resumes page. Deleting it does not delete the copy stored with the associated grade or the related interview records.

The same edited resume content is also stored with the grade associated with your Cici interview. That copy is not removed by the 30-day deletion of the separate saved resume version. It remains, together with the associated scores, results, Cici interview answers and conversation, confirmed gaps, chosen phrasings, drafted bullets, and re-grade results, until the associated grade is deleted following a request to info@cachetcareers.com or your account is deleted. There is currently no individual grade-deletion control in the Service. Backup copies and limited retention exceptions are described elsewhere in this policy.

Resumes you add to your resume library are not subject to this 30-day deletion rule. They remain until you delete them or your account. Backup copies and any limited retention for legal obligations, security, or disputes are handled as described elsewhere in this policy.

Free Cachet 100 reports and surveys

When you request a free Cachet 100 report, we collect your name, email address, resume file, and the job link or description you provide. We use this information to create and deliver your report and respond to related support requests. Your resume and job information are processed using AI, including Anthropic. Reports may be generated automatically without a person reviewing each one. Authorized personnel may access submissions when needed to provide support, investigate errors, or operate the report service.

We keep your submission, resume file, and report for about 60 days after submission, then delete them from active systems through our administrative deletion process, unless you request earlier deletion or limited retention is required for a legal obligation or dispute. Backups and service-provider records may follow separate retention schedules as described above. To request earlier deletion, email info@cachetcareers.com. If you choose to add your report to an account, that account copy follows the account retention rules instead. We do not create an account for you just because you request a report.

The survey is optional. It asks about matters such as job titles, industry, general location, relocation preferences, and preferred work arrangements. We use survey answers only to develop aggregate insights about job seekers and do not use them to prefill an account. Do not include sensitive personal information in free-text answers.

With your separate permission, we may use your report results in aggregate research after removing identifying details and taking steps to reduce the risk that an individual can be identified. We do not publish your resume or identifiable report under that permission. Separately, you may allow us to contact you about a possible public example. We will show you the exact material and obtain your approval before publishing it. Declining either option does not affect your free report.

You may withdraw optional permission for future use by emailing info@cachetcareers.com. Withdrawal does not reverse completed processing, and information already combined into genuinely anonymous aggregate results may no longer be identifiable or removable. For a public example, we will stop new use and remove material from channels we control when reasonably possible; we cannot guarantee removal of copies made by others.

Communications

We send messages needed to deliver a requested report, respond to support questions, or administer an account or purchase. Optional marketing updates are separate. You can stop marketing emails using the unsubscribe instructions in each message or by emailing info@cachetcareers.com. Opting out of marketing does not stop essential messages about an existing request, account, or transaction.

Your Choices

You can view and manage your resumes on the Resumes page, including individually deleting library resumes and separate saved Cici resume versions. You can export your account data and delete your account through Settings.

For access to or correction of information that cannot be managed through the available controls, or to request deletion of individual grades, associated Cici records, or tracked-job data, email info@cachetcareers.com. Deleting a grade also deletes its associated Cici interview records. These records do not currently have individual deletion controls in the Service.

We may take reasonable steps to verify your request before providing, changing, or deleting personal information. We will respond within applicable legal deadlines. If we cannot fulfill a request, we will explain the reason and any available review or appeal process. Backup copies and limited retention exceptions are described in the Data Retention section.

Security

We use reasonable technical measures to protect your data, including access controls that prevent other users from viewing your resumes or results. No system is perfectly secure, and we can't guarantee absolute security of information you provide.

Children's Privacy

This Service is not intended for anyone under 18, and we do not knowingly collect data from anyone under 18.

Cookies and Similar Technology

We may use basic cookies or local storage to keep you logged in and remember your preferences. We do not use these for third-party advertising.

Changes to This Policy

We will update the effective date when this policy changes. For material changes, we will provide an appropriate notice, such as an email or in-product notice. We will obtain any consent required before using previously collected information for a materially different purpose.
